The Problem

Freelance creatives in Denmark who invoice clients today often juggle separate tools for sending an invoice, delivering finished files and chasing payment, with large files bouncing off client mail servers and clients asking for re-sends weeks later. Danish VAT has specific edge cases such as the artist VAT rate (kunstnermoms), EU reverse charge, and deposits taxed on the day they are paid under Momsloven paragraph 23, stk. 3, which generic or US-style invoice templates do not handle natively. Freelancers also lose time chasing unpaid invoices manually, and handing off records to an accountant often means re-keying data. Public-sector clients like municipalities, hospitals or schools require an EAN buyer reference on invoices, another requirement not covered by generic tools.

The Solution

PennaPay combines an invoice, file delivery and payment link into one URL: clients open a single page (PennaShare) to see the invoice, download project files up to 50MB each without logging in, and pay by bank transfer or MobilePay (card payments are described as coming soon). The Danish VAT rules are built into the invoice form itself as selectable options, including 25% moms, kunstnermoms at the effective 5% artist rate, EU reverse charge, and deposit-day VAT accounting, plus an EAN field for public-sector invoicing. It offers 16 invoice templates (4 free, 12 Pro) with logo and brand colour customization, automatic payment reminders on a fixed schedule (7 and 1 days before due, then follow-ups at 1, 11 and 21 days overdue), and a broader PennaSystems suite covering quotes, orders, expense tracking and profit visibility. For accounting handoff, invoices can sync to Billy as drafts or be exported as CSV/PDF for a revisor, avoiding double data entry.
