Southflow
Southflow builds custom phone-call capture and transcription systems and runs outbound email prospecting for freight
The Problem
Businesses that run on phone calls (trade and field services, clinics, logistics dispatch, professional services) lose critical detail the moment a call ends because staff rely on memory or scribbled notes instead of a searchable record. Hand-offs between the person who took the call and the person who follows up break down without a clean summary, so the next person starts from zero. Generic off-the-shelf transcription tools don't understand a business's specific vocabulary, compliance rules, or what counts as a lead. Separately, freight carriers and brokers depend on word-of-mouth and referrals for new work, but when inbound slows down trucks sit idle and revenue is lost, and without a single system tracking leads and meetings, dispatch and sales end up working from different versions of the same information.
The Solution
Southflow designs custom pipelines around a client's existing phone system to capture, transcribe, and summarise calls, then routes structured output into the CRM, spreadsheet, Slack, or inbox the team already uses, rather than offering a generic bolt-on tool. The process runs in three stages: mapping what a good call looks like for the client, building a tailored pipeline that ingests audio or telephony events and summarises into the specific fields the team needs, then delivering ongoing searchable records. For freight and logistics clients, Southflow separately runs an outbound layer: building prospect lists by lane and region, sending cold email and follow-up sequences under the client's name and tone, booking meetings with the client's team, and logging every step in HubSpot or the client's CRM so dispatch and sales see the same information.
